We’re here to support you throughout your re-let process. To help everything go smoothly, please review the information below carefully, as certain steps and requirements must be completed before your re-let can be finalized.
Before getting started, it’s important to understand how the re-let process works.
First, it’s important to understand the difference between a re-let and a sublet. A sublet means you are effectively making someone else your tenant. If that person causes damage, fails to pay rent, or violates the lease, you remain fully responsible. For this reason, subletting is not permitted.
For your protection, we offer re-lets instead. A re-let transfers the lease to a new, approved resident and releases you from financial responsibility moving forward once all requirements are completed.
While our team will support you throughout the process, securing a replacement resident is ultimately your responsibility. We strongly recommend beginning your search as early as possible.

Follow the steps below to begin your re-let. Completing these items early will help you move through the process more quickly.
- Fill out the Re-let Request Form. Once this is completed, you can start advertising immediately.
- Sign your Re-let Addendum in the resident portal.
- Once you find someone, tell us who that is and share their contact information.
- Have the replacement resident complete the application and lease process.
- Pay the $500 re-let fee in your resident portal before the re-let can be finalized.
Important Policies
- Lease Termination Date:
Unless you move out in July, your lease will end on the last day of the month you vacate. All leases naturally expire on July 25. - Short-Term Re-Lets:
Re-lets for shorter than 5 months are not permitted. - Renewing Residents:
Renewing residents cannot re-let. If you renew and plan to re-let for the spring semester to return in the fall, you will be required to sign a new lease at market rate for the fall. - Responsibility Until Re-Let Completed:
You remain responsible for your lease until a replacement is found, the lease is fully completed, and all required fees are paid. - Turnover Period:
A 10 business day turnover period is required from the time you turn in your keys and surrender possession of the apartment, meaning the new resident cannot move in for 10 business days after you move-out. - Surrendering Possession:
You must return all keys, parking tags, and permits and complete a surrender of possession. You may not pass these items directly to the replacement resident. - Re-Let Fee:
Fee is charged once the replacement signs and must be paid in your resident portal before finalization.
Resident Steps
Below, you will find step-by-step instructions to complete your re-let and ensure the process goes as smoothly as possible.
You may begin advertising immediately after submitting your Re-let Request Form.

Once your form is submitted, a Re-let Addendum will be sent to your resident portal. This must be signed before your re-let can move forward. - 3Search for a replacement resident.
We encourage you to begin advertising as soon as possible. While our team will support you, securing a replacement resident is ultimately your responsibility. - 4Submit your replacement resident’s information.
Once you find someone, communicate with our team and provide their contact information (email and phone number). Please ensure they complete an application. - Send replacement information to: live@olivhetzel.com
- 5Replacement resident completes the lease process.
The replacement resident will go through the full leasing process, just as you did when signing your lease. Once their application is approved, a lease will be sent to them.
At this stage, the re-let fee of $500 will be triggered. - 6Pay the $500 re-let fee.
The re-let fee must be paid through your resident portal before the re-let can be finalized. - 7Complete your Move-Out checklist.
Log in to your resident portal and complete all required Move-Out steps prior to your departure. - 8Prepare your apartment for Move-Out.
On your Move-Out day, you are responsible for cleaning your bedroom, bathroom, and shared spaces. A cleaning guide is provided for your reference on the Move-Out page. - 9Return keys and surrender possession.
All keys, parking tags, and permits must be returned to the leasing office. You must complete a surrender of possession form. You may not provide keys directly to the replacement resident. - 10Apartment inspection.
Our team will complete a final inspection of your apartment after Move-Out. - 11Deposit processing (if applicable).
Your deposit (if you paid a deposit), less any damages or cleaning charges, will be refunded.
A check will be mailed to the forwarding address you provide and will be sent within 30 days of the end of your lease.
You may also sign up for direct deposit through your resident portal to receive your refund more quickly.

Move-Out
To help you avoid additional charges, please review the following requirements carefully and complete all expectations prior to Move-Out.
🔑 Key Return & Check-Out Requirements
By Move-Out, you must:
- Remove all personal belongings from your bedroom and all common areas
- Remove and dispose of all trash
- Thoroughly clean your bedroom, bathroom, and common areas
- Return all keys and access items in person, including:
- Apartment and bedroom keys
- Mailbox key
- Key fob
- Parking sticker and RFID tag (if issued)
All keys and access items must be returned in person at Move-Out unless alternative arrangements have been approved in advance by the leasing office.
✅ Charges & Inspections
We want to help you avoid unnecessary charges. Any issues not documented at Move-In or reported through maintenance during your lease may result in charges after your Move-Out inspection.
Your apartment will be inspected after the final resident has vacated.
- Damage to the apartment or furniture
- Excessive cleaning or painting
- Trash removal or abandoned items
- Missing keys or access devices
If you’d like to be present for your inspection, you must schedule it at least one (1) week in advance.

- Walls (grease, fingerprints, holes)
- Closets, drawers, and cabinets
Please note: Cleaning charges are the most common deductions from deposit returns.
📬 Forwarding Address & Final Balance
Before departure, you must:
- Complete a Surrender of Possession Form
- Provide a forwarding address
- Ensure your account balance is paid in full before returning your keys
- Submit a mail forwarding request with USPS

✅ When Is My Re-Let Complete?
Your re-let is considered complete only after:
- A replacement resident has been approved
- The new lease is fully signed
- The re-let fee has been paid
- You have moved out and surrendered possession
